How to Connect Claude AI to Follow Up Boss (Free Connector That Works on Your Phone)
I don’t like going into Follow Up Boss. It’s hard to move around in from my phone, and my phone is where I am most of the day, driving between showings and listing appointments. So updating the CRM turned into a chore I had to schedule every week. By the time I sat down to do it, I’d already forgotten half of what we talked about on the tour.
That’s the real cost of a CRM you don’t open. It isn’t the subscription. It’s the notes that never get logged and the leads that never get a follow-up.
So I built a connector that lets Claude AI read and update Follow Up Boss for me. Now I talk to Claude in plain English, on my laptop or in the Claude app on my phone, and it does the CRM work. I’m William Zhang, a full-time agent in Austin and the founder of Real Estate AI Society. In this post I’ll show you how to connect Claude to Follow Up Boss in about a minute, the permission settings I use, and the four ways I actually use it as an agent. The connector is free, and it works with ChatGPT too.
If you want the bigger system I run on top of this (lead scoring, follow-up sequences, IDX sync), I wrote that up in how I use Claude to manage my Follow Up Boss CRM. This post is the starting point: getting connected and getting useful on day one.
How to Connect Claude AI to Follow Up Boss
If you open Claude’s connector directory and search for Follow Up Boss, nothing comes up. There’s no official one. That’s why I built it. You add it as a custom connector instead, which sounds technical but is mostly copy and paste.
Here’s the setup in Claude Desktop:
- Click your name in the bottom left corner, then Settings.
- Go to Connectors. You’ll see two tabs, Discover and Yours.
- Click Add custom connector.
- Give it a name. I call mine “Follow Up Boss CRM.”
- Paste the connector URL. Make sure it starts with
https://. I left that off the first time on camera and had to go back and fix it. - Click Connect. Claude sends you to a Follow Up Boss sign-in screen.
- Sign in with your own Follow Up Boss login and click Allow.
That’s it. Claude opens back up and the connector shows as connected. You get the URL and the full step-by-step guide on the free Follow Up Boss connector page.
The same connector works in ChatGPT. Turn on Developer mode under Settings, Apps and Connectors, Advanced, then create a new connector with the same URL. And because it lives in your account, it also shows up in the Claude app on your phone. That’s the part that changed how I work.
The permission settings I use
Before you ask Claude to do anything, look at the tool permissions on the connector. Claude lets you set each tool to always allow or to ask you first.
- Read tools: always allow. Looking up a contact, reading a deal, checking action plans. If it’s only reading, I don’t want it asking me every time.
- Write tools: needs approval. Adding a note, creating a lead, changing a task. I keep these on approval so I see exactly what’s about to change in my CRM before it happens.
Then run one test before anything else. Ask Claude: “Who am I signed in as in Follow Up Boss?” Mine came back with my name, account owner and admin. Now you know the connection works, and you’re not debugging a bigger request later.
4 Ways I Use Claude With Follow Up Boss Every Week
1. Ask Claude who to call today
This is the simplest one and the one I’d start with. Ask: “Check my Follow Up Boss CRM. Who should I follow up with today?”
When I ran it on camera, Claude came back with a couple of leads I’d let slip and the new leads that had come in from my YouTube channel. No framework behind it, just Claude reading the CRM. It’s already better than scrolling the dashboard.
You’ll get a sharper answer with a sharper prompt. This is the one I give agents to start with:
Look at everyone with activity in the past 7 days plus my overdue tasks. Give me 5 people I should call today and why.
The “and why” matters. You want the reason (they saved a home, they opened your email twice, their task is a week overdue) so you can open the call with it.
In my own business I’ve gone further and built skills that score every lead against the framework I use to spot hot leads, so the morning list is consistent day to day. If you want to go that route, the scoring setup is in the AI CRM workflows I run.
2. Create a lead from a screenshot of a text conversation
This one saves me the most time. A new lead texts me. Before, I’d have to open Follow Up Boss, type in the name and phone number, then summarize the whole conversation into a note. On my phone, that’s miserable.
Now I take screenshots of the text thread, open the Claude app, attach them, and say:
Create this lead in Follow Up Boss, log the conversation, and summarize it.
Claude reads the screenshots, creates the contact, and logs the summary. You can get specific, too: “Add this lead to Follow Up Boss, source is referral, and put what they asked for in the notes.” And if I’m driving, I don’t type at all. I hit the voice button and say it.
3. Log notes by voice after a listing appointment
Say a seller is already in your CRM and you just walked out of the listing appointment. You talked about touching up the bathroom, fixing the sink, and repainting before you list so the home can hit their price. You’re already on the way to your next appointment.
Pull out your phone and tell Claude:
Update Follow Up Boss. I just went to the listing appointment at 123 Main Street. I recommended they repaint the walls before we list so we can beat the market.
Claude finds the contact and logs the note. The details land in the CRM while you still remember them, not on Friday when you’ve forgotten half of it. This is the part of AI that actually fits an agent’s day: the work happens in the car, between appointments, where it used to fall through the cracks.
4. Clean out stale overdue tasks
My Follow Up Boss tasks sync to my calendar, so every task shows up as a reminder. That’s great until you have a pile of overdue tasks for leads who went quiet months ago, and your calendar is full of notifications that aren’t worth your time.
So I ask:
Go through my overdue tasks. Close anything where the lead has gone quiet for 60 days. Reschedule the rest for this week and tell me what you did.
Claude closes the dead ones, moves the live ones to this week, and hands me a summary. My calendar goes back to showing the people who are actually worth a call.
What the Follow Up Boss Connector Can’t Do
A few things you should know before you connect any AI tool to your CRM:
- It can’t delete anything. There are no delete tools in the connector. Worst case, a bad request adds a note you didn’t want.
- It doesn’t send messages on its own. Claude can read a lead’s history and draft the text or email for you. You decide what goes out.
- It doesn’t store your client data. It reads Follow Up Boss live, as you, while it answers. Nothing is saved on our side.
- It only sees what you can see. It signs in with your own login, so an agent on a team sees their own leads, not the whole team’s.
- It isn’t an official Follow Up Boss product. I built it at Real Estate AI Society for my own business and opened it up to other agents.
A lot of team leaders have asked me about using this to see who their agents are following up with. That’s not in the connector today. If that’s what you’d want, or if you’re on a different CRM and want a connector for it, reply to the newsletter and tell me. That’s how I decide what to build next.
Where to Go From Here
Get connected, run the “who am I signed in as” test, then try the who-to-call prompt tomorrow morning. Once that’s a habit, start logging notes by voice from the car. That’s the one that makes a CRM you never open into one that’s always up to date.
You can get the free Follow Up Boss connector here. If you want to see where this fits next to the other AI tools I use, it’s listed in the AI tools directory for real estate agents, and the prompts and skills I build on top of it go out free in the newsletter.
Frequently asked questions
Questions agents actually ask me about this, answered.
Can Claude AI connect to Follow Up Boss?
Yes. Follow Up Boss isn't in Claude's connector directory, so you add it as a custom connector. I built a free one through Real Estate AI Society. In Claude you go to Settings, Connectors, Add custom connector, paste the connector URL, then sign in with your own Follow Up Boss login.
Does the Follow Up Boss connector work with ChatGPT?
Yes. In ChatGPT you turn on Developer mode under Settings, Apps and Connectors, Advanced, then create a new connector with the same URL. Everything in this post works the same way in either app.
Is the Follow Up Boss connector an official Follow Up Boss product?
No. It's a connector I built at Real Estate AI Society for my own business and then opened up to other agents. It uses your own Follow Up Boss sign-in, so it only sees what you can already see in your account.
Can the connector delete leads or send messages on its own?
No. There are no delete tools in the connector at all. It can draft texts and emails for you, and you decide what gets sent. I also set every write action (notes, new leads, tasks) to need my approval in Claude's permission settings.
Does it store my client data?
No. It reads Follow Up Boss live, as you, while Claude answers your question. Your contacts and conversations aren't saved on our side, and you can disconnect it in one click.
Which Claude plan do I need?
Custom connectors work on every Claude plan. The free plan allows one custom connector, which is enough for this.
